Features in Info Exchange
The following list contains all Project Center features that are available on Info Exchange. However, some features may not be available to youWhether you have access to view or edit each feature depends on whether the Project Center administrator has made the feature available on Info Exchange, and then whether the permission set applied to you allows you to access it.. Action Items
Action items that have been assigned to you by a Project Center user appear in the Action Items log. If you are a Project Center user, all actions items for the project are listed. For non-Project Center users, action items can be seen if they are visible for that project and if the external users’ permission sets allow them to see them. The Status column shows the current status for the action item. You can click the subject to view the action item. If you need to send an email message with feedback on the action item, click Send Email and complete the form.
Addendums
Use the Addendums Log to track the addendum items that have been created in a project. If you are a Project Center user, all addendum items for the project are listed. Click the subject to open the Addendum page. Further, you can manage any addendum that has been assigned to you. For non-Project Center users, addendums can be seen if they are visible for that project and if the external users’ permission sets allow them to see them.
Bulletins
Bulletin items that have been assigned to you appear in the Bulletins log. If you are a Project Center user, all bulletin items for the project are listed. For non-Project Center users, bulletins can be seen if they are visible for that project and if the external users’ permission sets allow them to see them. You can click the subject to open the bulletin items.
Change Orders
Change order items that have been assigned to you appear in the Change Orders log. If you are a Project Center user, all change orders items for the project are listed. For non-Project Center users, change orders can be seen if they are visible for that project and if the external users’ permission sets allow them to see them. You can click the subject to open the change orders. From the Change Orders log, you can respond to any items that have been assigned to you.
Change Order Proposals
Change Order Proposals (COPs) can be reviewed and sent electronically through email or Info Exchange. Within Info Exchange, external project team members can open the Change Order Proposals log to send COPs and review COPs that were forwarded to them for a review and reference COPs that were responded to in the log. Internal project team members can review and track COPs using the full COP log in Info Exchange, enabling them to track the COP process via the web from any location.
Construction Change Directives
Construction Change Directives (CCDs) can be reviewed and sent electronically through email or in Info Exchange using the Construction Change Directives log. Within Info Exchange, external project team members can review CCDs that were forwarded to them for a review and reference. Internal project team members can review and track CCDs using the full CCD log in Info Exchange, enabling them to track the CCD process via the web from any location.
Contracts
Contracts can be reviewed and sent electronically through email or in Info Exchange using the Contracts log. Within Info Exchange, external project team members can review contracts that were forwarded to them for a review and reference. Internal project team members can review and track contracts using the full Contracts log in Info Exchange, enabling them to track the contract process via the web from any location.
Contract Management
Contract management (CM) includes the following features and logs: addendums, bulletins, change order proposals, change orders, Cost codes, construction change directives, contracts, proposal requests, punch lists, RFIs, sketches, submittals, and supplemental instructions.
Daily Reports
Daily reports are helpful for reminding the project team of events that happened on the jobsite. Daily reports can be viewed via the Daily Reports log in Info Exchange. Typically field notes are created first, and then used to create a daily report. Since field notes are captured on site, remote users can access Info Exchange through a mobile tablet or on site computer to continue to process the field items. Field users can use a mobile phone or tablet to take photos and write text observations using the Field Notes app, and later append the text and media as an observation on a specific daily report. Multiple team members can provide field notes which may be added to the daily report.
Document Control/Record Documents
Record documents that have been assigned to you by a Project Center user appear in the Document Control/Record Documents log. If you are a Project Center user, all record documents for the project are listed. For non-Project Center users, record documents can be seen if they are visible for that project and if the external users’ permission sets allow them to see them.
Document Sets
The Document Sets log lists all document sets for the project. The Status column shows the current status for the document set. You can click the name to view the document set.
The Document Sets log can only be viewed by internal Project Center users.
Field Notes
Capture and view field notes reported at the job site using the Field Notes log in Info Exchange.
File Transfers
A main feature and benefit of Info Exchange is the ability to transfer large files to share them with other project team members.
Info Exchange Home
The My Projects page appears when you first log into Info Exchange. Click a name from the My Projects section to open the Project Home page for the project you want to work with. Once you open a project, you can easily change projects using the Current Project drop-down list in the menu bar.
Markup Sessions
View markup sessions created in the project from the Markup Sessions log. Using the Newforma Web Viewer, you can open pdf and other image files from your browser and Info Exchange.
Meeting Minutes
Use the Meeting Minutes log to keep track of important project meetings notes, agendas, and information. Open and print meeting minute items to efficiently track and communicate discussion items and commitments.
Open Items
Track your open items for a project using the Open Items log. Available from a project’s home page, use this log to track and manage project items that are assigned to you.
Project Calendar
Use the project calendar to track important project deadlines including phases, milestones, and meetings. Project meetings include phone calls, client meetings, contractor meetings, conversations, conference calls, tasks, site visits, and any other custom events that may have been added to the project. You can link Microsoft Outlook 2007 or 2010 to the Project Calendar on Info Exchange so that the most up-to-date project calendar information appears in your Microsoft Outlook calendar.
Project Email
You can view your project email on Info Exchange in the Project Email log, which lists the project email messages that were either sent by you, to you, or if you have access – all email messages for the current Project Center project.
Project Team
The Project Team log lets you view the list of project team members on the current project. You can send a message to a team member by clicking an address link, completing the form, and clicking Send.
Proposal Requests
Proposal Requests (PRs) can be reviewed and sent electronically through email or Info Exchange. Within Info Exchange, external project team members can review PRs that were forwarded to them for a review and reference PRs that were sent in the log. Internal project team members can review and track PRs using the full Proposal Requests log in Info Exchange, enabling them to track the PR process via the web from any location.
Public Transfer Log
The Public Transfers log lists file transfers that have been sent by users using the anonymous login. You can easily turn off this feature to enforce greater control over the project data.
Punch Lists
Punch list items that are assigned to you are listed in the Punch Lists log. You can view punch list items that are assigned to you or update discussion items with information to process and close the punch list item. If you are a Project Center user, all punch list items for the project are listed. For non-Project Center users, punch list items can be seen if they are visible for that project and if the external users’ permission sets allow them to see them.
RFIs
RFIs play a significant role in the construction administration phase of a project. Use the RFIs log on Info Exchange to send and answer RFIs actions assigned to you. Project Center users can see all the RFIs existing in the project.
Shared folders are folders containing project files that have been uploaded by a Project Center team member to share with other team members. You can view the shared folders available to you in the Shared Folders log. Once a shared folder has been uploaded to Info Exchange, you can download its files, or if the team member gave you permission, you can upload additional files to the folder.
Site Visits
Regular site visits are conducted throughout the course of a project for many reasons. Some of these visits may be handled by on-site personnel, but many are run by team members who are not located at the job site and are just visiting for a short period of time. Use the Site Visits log in Info Exchange to monitor activity occurring at the jobsite for any time period.
Sketches and Supplemental Drawings
Use the Sketches and Supplemental Drawings log to manage sketches, which can be scanned hand drawings or supplemental drawings (portion of a drawing updated to reflect changes in the original design). Sketches are typically sent along with an addendum or supplemental instructions. There is no workflow associated with a sketch – the object used to send the sketch contains the workflow.
Spatial Index
Use the Spatial Index log to view spaces that track and index rooms, areas and spaces from Autodesk Revit models.
Submittals
Within Info Exchange, external project team members can send submittals and review submittals that were forwarded to them for review. Internal project team members can review submittals and track submittals using the full Submittals Log in Info Exchange, enabling them to track the submittal process via the web from any location.
Supplemental Instructions
When changes occur that affect the project drawings and specifications, a supplemental instruction is issued. From the Supplemental Instructions log, you can manage any open actions and items assigned to you from a Project Center user.
