Addendums Overview

Addendums are documents or information that clarify, modify, or support the information in the original contract documents. After the project is sent out to bid, a change to the original bid documents may be required to address questions that come in (in the form of an RFI), or address changes required for the project. The information that needs to be sent out may be in the form of drawings (sketches or supplemental drawings), specifications, or instructions that clarify, modify, or support the information. To communicate this information, an addendum is generated to distribute the required documents out to all bidders to incorporate the changes into the bid set. Once an addendum is issued, the documents sent out become part of the contract documents when the contract is awarded.

Use the Addendums activity center to:

Enter addendums into the addendum log either by:

Creating the addendum if you originate them

Logging a received addendum if it was sent to you.

Manage the addendum log:

Sort the log by due date, received date, total days, etc.;

Quickly see which addendums require attention;

Create addendum reports.

Forward an addendum for input to project team members or other contacts;

Record responses to addendums;

If you are reviewing an addendum, respond to the addendum author;

Set project standards and create email/form templates to conform to your existing practice;

Receive automatic reminders for addendum reviews that are nearing their due date;

Send addendum information to team members at any time during the cycle;

Distribute the addendum and related documents to the bidders and close it;

Associate email messages and supporting documents with an addendum (similar to submittals).

Addenda have an Email Log for tracking email messages. Use it to view related email and file email messages sent among team members about the addendum.

Info Exchange support

Addendums can be reviewed and sent electronically through email or Info Exchange. Within Info Exchange, external project team members can review addendums that were forwarded to them for a review and reference addendums that were sent in the log if they have an Info Exchange account. Internal project team members can review and track addendums and using the full addendums log in Info Exchange, enabling them to track the addendum process via the web from any location.

Project Center users viewing the addendum log in Info Exchange will see the full log and all associated actions. Users logging into Info Exchange who are not Project Center users will only see the actions on which they are listed. These settings can be changed in the Groups and Info Exchange tab of the Modify Project Team Member dialog box.
