Add Daily Report dialog box
Use this dialog box to create a new daily report.
Report Date
Select the date the daily report occurred. The current date is the default.
Created by
Click the drop-down list to open the Select Project Team Members as Recipients dialog box to select the author of the report. You can use the filters on any of the columns to quickly locate the desired contact. The current user is the default.
ID
This is an automatically incremented number that is editable (as long as it remains unique). You can also enter text in this field.
To/CC
Click the drop-down list to open the Select Project Team Members as Recipients dialog box to select the team members to distribute the report to.
Template Name
Select the form template to use as the basis for the Daily Report form and the PDF file that is created when the daily report is finalized.
Keywords
Select the keywords to apply to the daily report from the drop-down list.
Observations tab
Enter the daily report observations for the site in this tab. The following options are available for adding observations:
Add
Click to add a new observation row and then fill in the information.
Add from Field Note
Click to open the Add Observations From Field Notes dialog box to select field notes to add as observations.
Order
The observation number. You can change the order number using the arrow buttons in the Order field. Select Reorder to update the observation grid.
Urgent
Mark the checkbox to designate the observation as urgent.
Category
Select the category of the report observation from the drop-down list.
Space
Select the space associated with the observation.
Subject
Enter the subject of the observation.
Remarks
Enter any remarks about the day.
Author
Select the drop-down list to open the Select Project Team Members as Recipients dialog box and select the author of the observation.
You cannot add any supporting documents from Info Exchange. Supporting documents may be added if a daily report is created in Project Center.
Tasks
Select Tasks if you wish to take further action on the daily report site observation. The following tasks are available:
Add Action Item – Select this task to create an action item linked to the current daily report. Enter the critical information for the action item.
Add Similar – Select this task to create another site observation as a duplicate of the current item. You can then edit this new item as needed.
Delete – Select to remove the observation item.
When you select one of the options in the Tasks list, you remain on the daily report and the window expands, so that you won’t lose any data for the current daily report.
You can use the commands in the Tasks list if you are a member of a Permission Set which allows these actions.
Reorder
If you have changed the order numbers for the observations, selecting Reorder updates the Observations tab grid to display the observations in their updated order.
Description tab
Enter any comments and any internal notes about the day in this tab.
Weather tab
Enter the weather conditions for the day in this tab. Select Add to add a new weather entry.
Total Precipitation
Enter the total precipitation for the day.
Time
Select the time of day for the entry.
Temperature
Enter the temperature at the time.
Wind Speed
Enter the wind speed at the time.
Humidity %
Enter the humidity at the time.
Remarks
Enter any additional remarks about the weather at the time.
Select next to the Remarks field to open a larger dialog box so that you can see the full description.
Select to delete the entry.
Subcontractors tab
Enter the subcontractors on the site for this day in this tab. Select Add to add a new subcontractor entry.
Company
The name of the subcontracting company.
Discipline
The company’s discipline.
Headcount
The number of personnel provided by the subcontractor.
Description of Work/Location
The description of the work provided and the location.
Select next to the Description of Work/Location field to open a larger dialog box so that you can see the full description.
Select to delete the entry.
Internal Personnel tab
Enter the internal personnel on the site for this day in this tab. Select Add to add a new internal personnel entry.
Contact
The name of the personnel. Select the drop-down list to open the Select Project Team Members as Recipients dialog box to select the contact.
Job Title
Enter the job title of the selected personnel in this field.
On Site
Mark the checkbox to indicate if the selected personnel were on site that day.
Notes
Enter any additional notes about the personnel.
Select next to the Notes field to open a larger dialog box so that you can see the full description.
Select to delete the entry.
Visitors tab
Enter the information for any visitors on the site for this day in this tab. Select Add to add a new visitor entry.
Company
The name of the visitor’s company.
Contact
The name of the visitor.
Job Title
Enter the job title of the visitor in this field.
Purpose
Enter the purpose of the visitor’s visit to the site.
Select to delete the entry.
Equipment tab
Enter the information for any equipment on the site for this day in this tab. Select Add to add a new equipment entry.
Equipment
Enter the name of each piece of equipment.
Count
Enter the quantity of each piece of equipment.
Owned By
Enter the owner of each piece of equipment.
Tag #
Enter the tag number of each piece of equipment.
Planned Return Date
Enter the planned return date of each piece of equipment.
Notes
Enter any additional notes for each piece of equipment.
Select next to the Notes field to open a larger dialog box so that you can see the full description.
Select to delete the entry.
Next Action
Mark the checkbox and select one of the following options:
View. Select to open the Daily Report form.
Finalize. Select to finalize the daily report, which does the following:
Changes the Status to Final.
Creates a PDF file with the format Daily Report_ReportDate_Report#_Rev#.pdf and saves it in the record copy folder set in Project Center. For example: Daily Report_20130305_00156_R1.pdf.
Sets the daily report to read-only.
Finalize and Send. Select to finalize and send the daily report, which does the following:
Changes the Status to Final.
Creates a PDF file with the format Daily Report_ReportDate_Report#_Rev#.pdf and saves it in the record copy folder set in Project Center. For example: Daily Report_20130305_00156_R1.pdf.
Sets the daily report to read-only.
Opens the Send Email dialog box so you can select who to send the daily report to. All recipients receive an email with the PDF daily report form attached.
Send. Select to send the daily report, which does the following:

Save
Select Save to save the daily report and continue editing.
The title of the dialog box changes to Modify Daily Report once you save it.
Save and Close
Select Save and Close to save the daily report and return to the Daily Reports log.
If you selected the Next Action checkbox, the selected action is performed once you select Save and Close.
To access this dialog box
Click Add Daily Report from the Daily Reports Log.
