Project Keywords Activity Center

This activity center lists the keywordsIn Project Center, keywords are words you can add to project items to use for filtering and searching. When you add keywords, they appear in the Keywords column of the corresponding Project Center activity centers and dialog boxes. You can then filter the list of items using the keywords to quickly find the items you are looking for, as well as do a project search for items containing the keywords.  used in the current project, including project files, email messages, and Project Center items to which the keywords have been applied. You can list all keywords, only keywords in use, custom keywords, or keywords from a keyword list.

Create Report

Click to open the Create Report dialog box to select the type of keyword report to create.

Selected Project Keyword

Rename Custom Keyword

Click to open the Rename Custom Keyword dialog box to rename the selected custom keyword. This is beneficial for instances of capitalization and spelling errors.

Project Keywords

This section lists the Project Center project keywords. You can choose which keywords to display from the category drop-down list.

Categories

All Project Keywords

Select this option to list all keywords from keyword lists that are available for the project. This option lists only the keywords that are available from the global project keywords lists, which includes user-defined global keyword lists that were assigned to a project. It does not list custom keywords users added manually in Keywords fields. Also, the keywords in this category are not necessarily being used in the project. See All Project Keywords in Use and All Custom Keywords in Use below for more choices.

All Project Keywords in Use

Select this option to list only the keywords that are currently being used in the project. This includes keywords being used from keywords lists and any custom keywords users added manually in Keywords fields.

All Custom Keywords in Use

Select this option to list only the custom keywords being used in the project. Custom keywords are the keywords that users added manually in Keywords fields, not from the keyword lists.

Keyword List: Keyword List Name

The project may have multiple keywords lists (for example, one for action items, submittals, etc.). If so, they will all be listed individually in this menu. The default keyword list is the Global Keyword List. Project Center administrators can create and edit project keyword lists in the Edit Project Settings dialog box.

Select this option to list only the keywords from the selected keyword list.

Filter All Columns

You can filter by any text that appears in any of the keyword columns. For example, if you know the name (or part of the name) of the keyword that you are searching for, enter at least part of the text in this field. The list updates automatically as you type. For example, if the keyword you are searching for has the letters em somewhere in one of the columns, enter em in this field. The list will be narrowed down to only keywords that have the letters em somewhere in one of the columns.

Click to group by the any of the columns. For example, if you want to group the list of items by name, select Name from the drop-down list. The items will be grouped into separate sections alphabetically by name. See Column Sorting, Filtering, and Grouping for more information.

Columns

All columns are listed here. Right-click on any column header to list or de-list columns. Click the icons for more filtering options.

Keyword Name

The name of each keyword.

Description

The description of each keyword.

File Count

The number of project files using each keyword.

Email Count

The number of email messages using each keyword.

Project Item Count

The number of Project Center items using each keyword.


Project Files tab

This tab lists all project files to which the selected keyword has been added.

Assign Keyword

Click to open the Add Keyword to Project Files dialog box to select files to add the keyword to.

Remove Keyword

Click to remove the keyword from the selected file.

Preview tab

A preview of the selected file appears here.

Related Items tab

This tab lists all Project Center items related to the file.

 

Project Email tab

This tab lists all email messages to which the selected keyword has been added.

Assign Keyword

Click to open the Add Keyword to Email Messages dialog box to select email messages to add the keyword to.

Remove Keyword

Click to remove the keyword from the selected email message.

 

Project Items tab

This tab lists all project items to which the selected keyword has been added.

Assign Keyword

Click to open the Select Project Item dialog box to select project items to add the keyword to.

Remove Keyword

Click to remove the keyword from the selected item.

 

To access this activity center

Click Project Keywords from the Activities list or from the Project Home activity center.
