Site Visits Activity Center

Use this activity center to log, review, and track site visits electronically.

Site Visits

Create Site Visit

Click to open the Create Site visit dialog box to log a site visit.

Create a Report

Click to open the Create a Report dialog box to select the type of site visit report to create. The report contains the contents of this log.

You can customize which columns appear in reports by selecting which columns to show and hide in the activity center. Simply right-click on column headers to add or remove columns. A checkmark indicates that the column will appear in the activity center and the report.

Import Spreadsheet

Click to open the Select Spreadsheet dialog box to select a Microsoft Excel spreadsheet containing site visit data that you can import. The imported site visits are placed in the appropriate site visit log based on the type imported.

Selected Site Visit

Modify

Click to open the Modify a Site visit dialog box to edit the information in the selected site visit.

Create Next Site Visit in Series

Click to open the Create Site Visit dialog box to open a new site visit containing most of the same information as the one you selected from the log. You can then edit the information to create the next site visit in a series.

View Form

Click to open the Site Visit form to view and print the selected site visit’s details.

Finalize

Click to changed the site visit’s status to Final.

Finalize and Send

Click to changed the site visit’s status to Final and open the Send Options dialog box to choose how to send a .PDF file of the site visit and whether to record a transmittal for it.

Revert to Draft

Click to changed the site visit’s status to Draft.

Send

Click to open the Send Options dialog box to choose how to send a .PDF file of the site visit and whether to record a transmittal for it.

Send Email About Site Visit

Click to open an email message in Microsoft Outlook to send to all site visit participants, including the sender, as a reminder or with additional information.

Review Related Action Items

This task is available only when you select an item that has related action items.

Click to open the Related Action Items activity center to view action items related to the selected item.

Review Related Markup Sessions

This task is available only when you select an item that has related markup sessions.

Click to open the Related Markup Sessions activity center to view information about and preview the related markup sessions.

Delete

You must be a Project Center administrator and have a Professional User role to delete site visits.

Click to delete the site visit from Project Center.

The file tasks apply to files in the Supporting Documents tab. See File Tasks panel.

Site Visits

Category drop-down list

The category drop-down list contains filters to display site visits by category. For example, if you want to view only finalized site visits, select All Final Site Visits from the list. Only site visits with a status of Final will appear in the log. You can also choose to display site visits for all project users or only site visits on which you are listed as the sender or recipient. Each category is explained below.

Click to toggle between showing site visits for all users or only site visits you are involved with.

All Site Visits

Select to display all site visits that have been entered for this project.

All Final Site Visits

Select to display only finalized site visits.

All Draft Site Visits

Select to list only site visits in draft mode.

This Week’s Site Visits

Select to display only site visits started during the current week, from Sunday – Saturday (not the last seven days – unless it’s Saturday.

This Month’s Site Visits

Select to display only site visits started in the current month (not the last 30 or 31 days).

Filter All Columns

You can filter by any text that appears in any of the site visit columns. For example, if you know the name (or part of the name) of the site visit  you are searching for (or the start, type, status, etc.), enter at least part of the text in this field. The list updates automatically as you type. For example, if the site visit  you are searching for has the number 30 somewhere in one of the columns, enter 30 in this field. The list will be narrowed down to only site visits that have the number 30 somewhere in one of the columns.

Click to toggle between showing and hiding the column filter fields.

Clear

Click to clear all filters.

Group by

Click to group by the any of the columns. For example, if you want to group the list of items by created date, select Date Created from the drop-down list. The items will be grouped into separate sections alphabetically by date. See Column Sorting, Filtering, and Grouping for more information.

 

Site Visits log

The site visit log displays the site visits for the category selected above. Select a site visit for a list of tasks you can perform, which appear in the Tasks panel. Double-click a site visit to open the Modify a Site Visit dialog box to view and edit the site visit’s information and settings.

 

Columns

Column headers are different for each site visit category. The following list includes all column headers for all site visit categories. Some categories may not include all columns, and they may not be in the order listed here. If you move and resize columns, they are saved in that position for each category. Column settings are reflected in site visit reports. Right-click on any column header to list and de-list columns. Click the icons for more filtering options.

Start

The date the site visit stared.

End

The date the site visit ended.

Type

The site visit’s type.

Visit ID

The visit number for the series.

Visit Name

The name given to the visit.

Series

The name of the first visit in the series.

Status

The status of the site visit.

Created By

The contact who created the site visit.

To/CC

The contacts the site visit was distributed to.

Participants

the names of all contacts involved with the site visit.

Keywords

Any keywordsIn Project Center, keywords are words you can add to items to use for filtering. When you add keywords, they appear in the Keywords column of the corresponding Project Center activity centers. You can then filter the list of items using the keywords to quickly find the items you are looking for.  applied to the site visit.

General Comments

Any general information entered about the site visit.

Weather Observations

Any important weather conditions for the site visit.

Internal Notes

Any internal notes entered about the site visit. Internal notes are not sent in email notifications and do not appear in forms.

If the site visit has any related items, the icons appear here.

This column is a text version of the icons in the Related Items column. The text will appear in reports.

Preview tab

This tab displays a preview of the finalized Site Visit form.

Previews are not available for Draft site visits.


 

To access this activity center

Click Site Visits from the Activities list or from the Project Home activity center.
