Field Notes Activity Center

Use this activity center to log, review, and track field notes electronically.

Field Notes

Create Field Note

Click to open the Create Field Note dialog box to log a field note.

Create Report

Click to open the Create Report dialog box to select the type of field notes report to create.

You can customize which columns appear in reports simply by selecting which columns to show and hide in the activity center. Simply right-click on column headers to add or remove columns. A checkmark indicates the column will appear in the activity center and the report.

Import Spreadsheet

Click to open the Select Spreadsheet dialog box to select a Microsoft Excel spreadsheet containing field note data that you can import. The imported field notes are placed in the appropriate field note log based on the type imported.

Export Spreadsheet

Click to open the Save Spreadsheet dialog box to select the Microsoft Excel spreadsheet to export the project’s field notes to.

Selected Field Note

Modify

Click to open the Modify a Field Note dialog box to edit the details of the selected field note.

Add Similar Field Note

Click to open the Create Field Note dialog box to open a new field note containing the same information as the one you selected from the log. You can then edit the information in the same way you would log a field note.

Create > Project Center Item

Click to create a new item of the type selected (such as a site visit) and automatically relate it to the selected field note. When you create a relationship between the item and the field note, each item’s icon is added to the other item’s Related Items column and tab.

View Form

Click to open the Field Note form to view and print the selected field note’s details.

Review Related Action Items

This task is available only when you select an item that has related action items.

Click to open the Related Action Items activity center to view action items related to the selected item.

Review Related Markup Sessions

This task is available only when you select an item that has related markup sessions.

Click to open the Related Markup Sessions activity center to view information about and preview the related markup sessions.

Show Related Space in Autodesk Revit

You must have Autodesk Revit installed to perform this task.

Click to show the related space in Autodesk Revit.

Send Email About Field Note to All Participants

Click to open a new email message in Microsoft Outlook containing information about the selected field note. When you enter information and send the message to contacts included in the field note, you can select whether to send and file the field note to the selected field note’s Email Log.

Delete

You must be a Project Center administrator and have a Professional User role to delete field notes.

Click to delete the field note from Project Center.

Field Notes

Category drop-down list

The category drop-down list contains filters to display field notes by category. For example, if you want to view today’s field notes, select Today’s Field Notes from the list. Only field notes entered today will appear in the log.

Click to toggle between showing field notes for all users or only field notes you are involved with.

All Field Notes

Click to display all field notes that have been entered for this project.

Today’s Field Notes

Click to display only today’s field notes.

This Week’s Field Notes

Select to display only field notes started during the current week, from Sunday – Saturday (not the last seven days – unless it’s Saturday.

This Month’s Field Notes

Select to display only field notes started in the current month (not the last 30 or 31 days).

Filter All Columns

You can filter by any text that appears in any of the field note columns. For example, if you know the subject (or part of the subject) of the field note you are searching for (or the ID, author, etc.), enter at least part of the text in this field. The list updates automatically as you type. For example, if the field note  you are searching for has the number 30 somewhere in one of the columns, enter 30 in this field. The list will be narrowed down to only field notes that have the number 30 somewhere in one of the columns.

Click to clear all filters.

Click to group by the any of the columns. For example, if you want to group the list of items by subject, select Subject from the drop-down list. The items will be grouped into separate sections alphabetically by subject. See Column Sorting, Filtering, and Grouping for more information.

 

Field Notes log

The field note log displays the field notes for the category selected above. Select a field note for a list of tasks you can perform, which appear in the Tasks panel. Double-click a field note to open the Modify a Field Note dialog box to view and edit the field note’s information and settings.

 

Columns

The following list includes all column headers for all field note categories. If you move and resize columns, they are saved in that position for each category. Column settings are reflected in field note reports. Right-click on any column header to list and de-list columns. Click the icons for more filtering options.

ID

The ID number of the field note.

Created

The date the field note was created.

Author

The author of the field note.

Subject

The subject of the field note.

Space

The name of the space the field note applies to.

Last Modified

The date and time the field note was last modified

Last Modified By

The person who modified it last.

Keywords

Any keywordsIn Project Center, keywords are words you can add to items to use for filtering. When you add keywords, they appear in the Keywords column of the corresponding Project Center activity centers. You can then filter the list of items using the keywords to quickly find the items you are looking for. applied to the field note.

If the field note has any related items, the icons appear here.

This column is a text version of the icons in the Related Items column. The text will appear in reports.

Supporting Documents

Any files attached to the field note.

Download to Mobile Devices

Yes indicates that the field note will be downloaded to mobile devices during the next sync.

No indicates that the field note will not be downloaded to mobile devices during the next sync, and will also be removed from mobile devices if it is there. To change the value to No, right-click in the column field and select Change Field Value > Download to Mobile Devices > No.

The Related Items tab has the following additional options that are not in the Create Field Note dialog box.

Click to open the Identify Action Item dialog box to create a new action item and link it to the current field note.

Click to open the Send Files to Email Recipients dialog box to send project files via email. Nothing is logged in this tab.

Click to open the Transfer Files to a Newforma Info Exchange Server dialog box to transfer project files via your Newforma Info Exchange Server and link the transfer to the current field note.

Click to open the Send Files and Create an Outgoing Transmittal dialog box to send project files via email, file an outgoing transmittal for a file transfer, and link the transfer to the current field note.

Click to open the Transfer Files and Create an Outgoing Transmittal dialog box to transfer project files via your Newforma Info Exchange Server, create a new outgoing transmittal for the file transfer, and link the transfer to the current field note.

Click to open the Create Contract Management Item dialog box for the type of contract management item you selected to create a new CM item and link it to the current field note.

Click to open the Create Web Link dialog box to enter a web link and automatically relate it to the current field note. After it is created, the Relation Type column will indicate Web Link, and users can double-click on it to open the website.


 

To access this activity center

Click Field Notes from the Activities list or from the Project Home activity center.
