Modify User dialog box

Use this dialog box to assign and modify a Project Center user’s roles.

You must be a Project Center administrator to assign roles and administrative privileges to other users.

Windows User Name

The name of the user you selected to assign roles to.

If you selected multiple users to assign roles to at once, this field will be filled in with <multiple users>.

Home Server

Select the Project Center Server to use each time the user logs in to Project Center. If you select Clear Home Server, the user will be logged onto the server that was used in the previous session.

Role

This section contains the roles you can assign to the user.

NPC User

Professional User

Mark this checkbox to make the user a Professional user:

Professional users can add and modify items throughout Project Center (but they must be a Contract Manager and/or a Financial Manager to use the features within those categories, as explained below).

Non-Professional users can only file email messages, create meetings, markup items, use search, and view Project Center items.

Contract Manager

Mark this checkbox to assign contract management (CM) privileges to Professional users. CM users can create/edit/delete addendums, bulletins, construction change directives, cost codes, proposal requests, RFIs, sketches and supplemental drawings, submittals, and supplemental instructions.

Users without the Contract Manager role can still view all of the indicated activity center items.

Financial Manager

Mark this checkbox to enable Professional users to view/create/edit/delete change order proposals, change orders, contracts, and potential change orders.

Users without the Financial Manager role cannot even view any of the indicated activity center items.

Document Controller

Mark this checkbox to enable the user to manage record documents in the Document Control activity center. Users with this role can create, modify, issue, and delete record documents and record document packages. Users without this role have read-only access to record documents.

Bluebeam Studio

Mark this checkbox to enable the user to use Bluebeam Studio to markup files during the submittal and RFI review process.

The Bluebeam integration requires a new Newforma license key to enable the functionality. Without this updated license, the Bluebeam options will be disabled in Project Center. Contact the Services team at services@newforma.com for an updated license.

Project Creator

Mark this checkbox to enable the user to create projects. When this option is selected, the Create a New Project task appears in the Tasks panel of the My Project Center activity center to allow project team members without access to the Project Center Administration activity center to create projects.

Content Administrator

Mark this checkbox to enable the user to use the Newforma Contact Directory to add and modify companies, contacts, and keyword lists, and to add, modify, and delete form letters. It also enables the user to use the Modify Keyword Lists task in the My Project Center activity center to add and modify Project Center keyword lists.

Content Administrators do not have access to the Project Center Administration activity center (unless they are also Global Administrators).

Global Administrator

Mark this checkbox to give the user administrative privileges.

The user whose roles were modified must close and restart Project Center for the changes to take effect. Make sure to notify the user.

Restricted User

Mark this checkbox to only allow the user to see or interact with any projects where they are on the project team. See Restrict User Access for additional information.

 

Newforma API Service Account

The Newforma API Service Account role automatically grants the permissions required for successfully interacting with Project Center connectors. This streamlines the connector configuration process. Multiple Newforma API Service accounts can be created.

You must have at least one API Service account defined for your connectors to work.

Newforma API Service accounts have the following characteristics:

They do not consume a Project Center user license

They do not have access to the Project Center client

When creating a Newforma API Service account, all options in the NPC User section, Personal Transfers section, and Email Options sections are disabled.

Newforma API Service accounts can be assigned the Construction Administration option, the ERP option, or both.

Existing NPC users can be converted to a Newforma API Service account and vice versa. Be aware that converting a Newforma API Service account to a regular NPC user will break the connectors.

Newforma API Service accounts have access to confidential projects via Newforma API to allow for connectors to work on confidential projects. They cannot view confidential project content.

Note that outgoing EDMS connectors do not require a Newforma API Service account.

Construction Administration

Select this API Service Account option for use with the Project Center workflow connectors for Procore, BIM 360, and ConstructEx workflow connectors.

The Construction Administration option is automatically granted the Professional User and Contract Manager roles.

ERP

Select this API Service Account option for use with the BST ERP connector.

The ERP option is automatically granted the Global Administrator, Project Creator, and Content Administrator roles.

Personal Transfers

Allow Personal Transfers from Outlook

Mark this checkbox to allow the user to use Microsoft Outlook to send personal email messages with large attachments via Info Exchange.

Mark this checkbox to provide the user with a link to share with other contacts for uploading files. Once selected, Project Center sends a URL to the user that can be added to the user’s email signature. When the user sends an email message, the recipients can click the link to upload files to the sender. The sender is then notified about the uploaded files and can download them from the email notification or from the View Personal Transfers dialog box.

Email Options

Force Email Filing when Sending Email Through Outlook

Mark this checkbox to force users to select a Project Center project when sending an email.

To access this dialog box

Select a Project Center user from the Licensing tab of the Project Center Administration activity center, then click Modify User from the Tasks panel.
